Getting started with Timely reports

Bring your reporting to life and take control of your business performance by raising invoices and applying payments in Timely .

Timely provides a full range of business, appointment, customer and staff reporting to let you evaluate your business performance. All reports can be easily accessed from the Reports tab:


What reports are included in your plan

You will have a whole host of business reports available to you, that give you insight into different areas of your business:

Reports are split into five main areas:

Business Performance

  • Executive Summary (Updated every 3 hours)
    View a summary of appointments and sales grouped by staff and location. Shows key performance metrics like rebooking rate.
  • Monthly Summary
    View a summary of appointments and sales grouped by month.
  • Future Value (Updated every 24 hours)
    See the total value of future appointments grouped by staff, service and location. You can select the time period to view.
  • Customer spend
    See the total value of your customer's appointments. Includes total spend, number of appointments and contact details.

Sales and Financial

All reports in this section are only available on the Schedule and Sell plan:

  • Sales Report
    A summary of the total sales value for your appointments, products and discounts in a selected time period. Includes tax totals.
  • Appointment Sales
    A summary of the total sales value for your service sales grouped by category. Includes tax totals and category splits.
  • Product Sales
    View a summary of the total sales value for products sold. Includes stock levels, tax totals and splits by product type.
  • Unpaid Invoices
    Shows you a total and a full list of payment transactions and what payment type was used (cash, credit etc).
  • Transaction summary
    Shows you a total and a full list of payment transactions and what payment type was used (cash, credit etc).
  • Customer product sales
    See which products your customers have been buying.
  • Stock levels
    View a list of all your products including current stock levels
  • Package redemption
    Take a look at which packages have been redeemed by your customers.
  • Gift voucher activity
    See which gift vouchers your customers have been buying and redeeming.
  • Credit Activity
    See an overview of credit amounts your customers have been buying and redeeming.

Appointments

  • Day sheet
    Run off a list of appointments for today, or a longer time period as required. Can be filtered by staff or location.
  • Appointment Schedule
    A full list of all of your appointments for a selected time period. Great for viewing rebooking and retention for individual customers.
  • Cancelled appointments
    Run this report for a selected time period to view a list of all of the cancelled appointments. Includes date cancelled and cancellation reason.
  • Incomplete appointments
    View appointments that have not been marked as completed. Great for finding missing appointments to tick off at the end of the day.
  • No-show appointments
    View a list of appointments where the customer did not show. Includes a count of the number of times the customer has failed to show
  • Pencilled in appointments
    Run this report to view appointments still in pencilled-in status.

  • Declined appointments
    View a list of appointments requested by customers through online bookings that you declined.

Customers

  • Customer List
    A full list of all of your customer data. Great for a backup or to import into other systems like a mailing list.
  • Customers by date added
    Run a report showing the date customers were added.
  • Customers by service
    Find a list of customers who have booked a particular service during a selected time period.
  • Customer birthdays
    Grab a list of all of your customers who are having a birthday next month. Feed this into your marketing to increase appointments!
  • Customer retention
    Find which of your customers haven't had a booking since a selected date. A great way to follow up on who needs an appointment.
  • Customer notes
    This report will show you all of the notes that you have entered against a customer and their appointments.
  • Duplicate customer list
    Find customer records that may be a double-up. You can then use the merge feature under the customers tab to tidy your database.
  • Deleted customer list
    Find customer records that you have deleted. You can restore any deleted customers.

On the Schedule and Sell plan, you will also have access to three additional reports:

  • Customer package details
    A list of customers with their issued packages and details of any redemptions made.
  • Customer gift voucher details
    A list of customers with their issued gift vouchers and details of the redemptions made.
  • Customer credit details
    A list of customers with their issued credits and details of the redemptions made.

Staff 

  • Staff timesheet
    View the hours worked by your staff and the percentage of time spent on appointments.
  • Staff roster
    This report shows you the working days and rostered hours for each of your staff members during a selected time period.
  • Staff appointment summary
    Shows you a summary of appointment and invoice value, grouped by appointment status, by service and staff member
