How to edit recurring bookings

Recurring appointments and classes are a great way to manage your regular customer's. When you create a new recurring booking, we will refer to all of those associated bookings as being part of the same series.

Sometimes, you will need to make changes to a recurring booking - either just as a one-off, or to apply to all of their bookings.

This guide will step you through that process in a number of different scenarios, as well as clarify some important information to be mindful of:

  1. Change an individual appointment in the series.
  2. Update all of the appointments in a recurring series.
  3. Change a single class in a series.
  4. Update the entire recurring class series.
  5. Remove a customer from a recurring class.

Change an individual appointment in a recurring series

If the customer would like to deviate from their regular time, but just for the one appointment, then you can apply that change to a single booking.

  1. Click Edit on the specific appointment you would like to change: 

  2. Make any adjustments as required e.g. day/time, staff member, service etc: 

  3. Click Save to apply those changes to the appointment.
  4. A pop up will appear that asks you if you'd like to apply those changes to This only or This and future. Choose the This only option: 

  5. The booking will then be updated to the new details. This will remove the appointment from the recurring series

This means that if you make any changes to the recurring series before that occurrence, they won't be applied to this specific appointment.

Update all of the recurring appointments

If you'd like to reschedule the appointment to another day/time permanently, or select a different service for your future bookings, then you can edit the entire series.

  1. Click Edit on the specific appointment you would like to change.
  2. Make any adjustments as required e.g. date/time, staff member, service etc.
  3. Click Save to apply those changes to the appointment.
  4. A pop up will appear that asks you if you'd like to apply those changes to This only or This and future. Choose the This and future option: 

  5. This will update any bookings in the series after that date to the new details.

When you choose the This and future option, you effectively create a new recurring series. 

This will add an End date to the previous appointment in the series, so any changes made to earlier appointments will not be reflected in the new series.

Note: Appointments with more than one service cannot be made recurring. So if you add a second service to a recurring appointment, it will be removed from the recurring series.

Change a single class in a series

Perhaps you've had a timetable conflict, temporary change of staff member, or a public holiday that affects your availability for a regularly scheduled class.

You can update a single class in a recurring series to the required details.

  1. Click on the specific class in the Calendar you would like to change.
  2. Go to the Details page:
  3. Make any adjustments as required e.g. day/time, staff member, service etc: 
  4. Click Save to apply those changes to the class.
  5. A pop up will appear that asks you if you'd like to apply those changes to This only or This and future. Choose the This only option: 

The booking will then be updated to the new details. This will remove the class from the rest of the recurring series.

Update all of the classes in a recurring series

To apply any class changes to all of the future scheduled classes:

  1. Click on the first class in the calendar that will use the new details.
  2. Go to the Details page and make any adjustments as required e.g. date/time, staff member, service etc.
  3. Click Save when you're ready to apply those changes to the class.
  4. When prompted, choose the This and future option: 

  5. This will update any classes in the series, after that date, to the new details.

When you choose the This and future option, you create a new recurring series. 

This will add an End date to the previous class in that series, so any changes made to earlier classes will not be applied to the new series.

Remove a customer from a recurring class

If a customer has been adding to an entire recurring series, you can choose to remove them from a single class, or from all of the remaining classes in the series.

  1. Click on the class in the Calendar.
  2. Select the customer in the Customers list: 

  3. Click the Remove from class button: 
  4. Choose the This class only option to remove them from just this class

  5. Choose the This and future class option to remove them from all the remaining classes in the series

  6. Click Save to update the class.

This will remove the customer from any relevant classes, without adjusting the recurring series itself.
