How to set up the Vend integration

Vend is a Point of Sale solution for retail store. You can connect Vend to your Timely account to integrate your in store and eCommerce sales ( Find out more).

In this guide we will cover how to:

  1. Connect Vend to your Timely account.
  2. Sync your customers between Vend and Timely.
  3. Import your Vend taxes into Timely.
  4. Map your staff and locations to Vend.

Connect Vend to your Timely account

Note:  It's only possible to set up one connection between Vend and Timely. However, you can add multiple outlets and registers to your Vend account.

The first step is to authorise the connection between the two accounts. If you don't have a Vend account already, you'll need to set one up here:  http://vendhq.com

  1. In Timely, head to Setup > Add ons from the main menu: 
  2. Click Activate under the Vend integration: 

  3. Click the Setup Vend button: 
  4. Enter your Vend store ID (e.g. if your Vend store URL is https://myteststore.vendhq.com then enter myteststore): 
  5. Enter your Vend login email and password: 

  6. You can then Allow access to connect the two applications: 
  7. Click Save to complete the process and return to the settings page. Your Timely and Vend account will then be linked (this may take a few moments). 
  8. To complete the setup process, click the Edit settings button to pop up your additional options:
  9. Check the box next to Add notes saved against the appointment to the sale notes in Vend, if desired: 
  10. Check the box next to Summarise appointment details and attach to the sale notes in Vend, if desired.
  11. Click Save to apply the settings.

Things to remember

  • Your Timely services will be synced to Vend as "products". These products will have a unique Timely code that allows us to match it to the services in Timely. Do not delete any products in Vend that have been created by Timely.
  • If you add new services, or make changes to your existing services then these changes will automatically sync to Vend.
  • You will need to add any retail products to your Vend account directly. This will not sync any retail products to Timely.

Sync your customers between Vend and Timely

Now that the accounts are connected, you can sync your customers between the two accounts.

Once the customers are imported/exported, any changes made to a customer in one system, will be updated in the other.

  1. If you have customers in Vend that you'd like to bring to Timely, click the Import customers button: 

  2. If you have customers in Timely that you'd like to send across to Vend, click the Export customers button: 

Your customers will then be synced between Vend and Timely. If you add or modify a customer in Timely these changes will automatically get synced to Vend (or the other way around).

Important information

Your customers will then be kept up to date between the two systems.

If you delete a customer in Timely, they will not be deleted in Vend (or vice versa). You will need to delete a customer's record in both Timely and Vend to remove them.

Import your Vend taxes into Timely

To make sure your service prices are accurately recorded between Timely and Vend, you can import your taxes into Timely. This will allow you to apply Vend taxes to any of your services.

You can also come back to this step at any time and use the Refresh tax types button to refresh your taxes. This will remove any unwanted tax codes that have been deleted, or updated in Vend.

  1. Head to Setup >  Add  ons.
  2. Click Configure next to the Vend integration.
  3. Click the Refresh tax types button:

Map your Staff and Locations to Vend

You can then link your Locations and Staff in Timely to your "Registers" and "Users" in Vend. 

This will make sure your sales are recorded at the right register and the correct staff member is assigned the sale:

  1. Head to Setup >  Add  ons.
  2. Click Configure next to the Vend integration.
  3. Click the Map registers button at the bottom of the page:
  4. Set the default register for each location from the drop down provided: 
  5. Match the Default register for each staff member:
  6. Match the Vend User to each staff member: 
  7. Click Save when you're done to apply your changes: 

Note: Mapping your Timely staff to Vend users will cause sales in Vend to be raised in on account status. This is a limitation imposed by Vend.

If you would prefer your sales to be raised in parked status then you should choose " Default user" option instead.
