How to update the status of a booking

Booking statuses are a great way of keeping track of where a customer is in the appointment process. They allow you to quickly see the customer's status at a glance.

In this guide we'll show you how to:

  1. Mark a customer as arrived.
  2. Mark an appointment as completed.
  3. Update the status of an appointment.

Check out our How to use the booking status guide for more information on tracking appointment statuses.

Mark a customer as arrived

When the customer has arrived at the front-counter, you can quickly update the booking to let the staff member know they are here.

  1. Click on the booking in the calendar.
  2. Click Arrived in the pop up:
  3. The booking will be updated with the arrived icon and the strip down the left-hand side of the booking will change:

Mark a booking as completed

Once the appointment has been completed, you can quickly mark an appointment as Completed.

If you raise a sale at the end of the appointment, the booking will automatically be marked as Completed at the same time.

  1. Click on the booking in the calendar.
  2. Click on the Completed button:

  3. The booking with be updated with the tick icon.

There are some other important things that marking an appointment as  Completed does:

  • Once the customer has a Completed booking, they will no longer be identified as a new customer. Find out more.
  • To redeem a package against an appointment, the booking must be marked as Completed. Find out more.
  • Updating the status moves that booking from the Confirmed status to the Completed status in any reports, so you can easily identify which bookings a staff member actually performed.

Update the status of an appointment

You can manually update the  Booking status of an appointment when you are editing it in the calendar.
  1. Click on the appointment in the calendar.
  2. Choose Edit from the options:

  3. Update the initial Booking status - this will be Pencilled-in or Confirmed

  4. When you select Confirmed, you can select another status:
    1. Not started
    2. Arrived
    3. Started
    4. Completed
    5. Did not show
  5. Click Save to apply your changes and update the status:

You also have the option to add your own appointment statuses. These can be selected when making bookings, but can't be used to filter on reports. Our How to set up your Timely calendar guide takes you through the process of adding or editing booking statuses.
