Recurring appointments are a great way to manage your regular customer's. When you create a new recurring booking, we will refer to all of those associated bookings as being part of the same series.
Sometimes, you will need to make changes to a recurring booking - either just as a one-off, or to apply to all of their bookings.
This guide will step you through that process in a number of different scenarios, as well as clarify some important information to be mindful of:
- Change an individual appointment in the series.
- Update all of the appointments in a recurring series.
- Cancel a recurring appointment.
Change an individual appointment in a recurring series
If the customer would like to deviate from their regular time, but just for the one appointment, then you can apply that change to a single booking.
- Click Edit on the specific appointment you would like to change:
- Make any adjustments as required e.g. day/time, staff member, service etc:
- Click Save to apply those changes to the appointment.
- A pop up will appear that asks you if you'd like to apply those changes to This only or This and future. Choose the This only option:
- The booking will then be updated to the new details. This will remove the appointment from the recurring series:
This means that if you make any changes to the recurring series before that occurrence, they won't be applied to this specific appointment.
Update all of the recurring appointments
If you'd like to reschedule the appointment to another day/time permanently, or select a different service for your future bookings, then you can edit the entire series.
- Click Edit on the specific appointment you would like to change.
- Make any adjustments as required e.g. date/time, staff member, service etc.
- Click Save to apply those changes to the appointment.
- A pop up will appear that asks you if you'd like to apply those changes to This only or This and future. Choose the This and future option:
- This will update any future bookings in the series after that date to the new details.
When you choose the This and future option, this will add an End date to the recurring series. The bookings that have the new appointment details will be treated as a new recurring series. This means that if change an earlier appointment in the series, those changes will not be applied to the new series.
Appointments with more than one service cannot be made recurring. So if you add a second service to a recurring appointment, it will be removed from the recurring series.
Cancel a recurring appointment
To apply any class changes to all of the future scheduled classes:
- Click on the appointment in the calendar.
- Click Cancel from the pop up:
- You will see a box where you can select on of the Reasons for cancellation options from the list:
- Once you've selected a reason, you can click the Cancel appointment button.
- Choose This and future when prompted to remove all of the appointments in the series:
- The appointment, and any future instances of the series, will be immediately removed from the Calendar.
