In this section, we’ll guide you through some of the ways you can delight your clients and grow your business.
Consult
We know how digital forms have gone from being “nice to have” to being a business essential; vital for protecting your business, clients, and yourself.
Creating and editing forms
Go to “Setup” and select “Library” from the Consult section. Here you can create your own forms from scratch or you can use a premade industry one as a template to get you started. To make a new form click using Timely Consult this guide will help you.

Sending forms
All the forms you have created can be completed in the salon on an iOS device such as an iPad, BUT they can also be sent to complete prior to their appointment, saving you a massive amount of time doing admin. There are 2 ways you can send forms to clients:
- Manually Sending Forms - this is great if you need to send a one off form to your clients. You can do this in Timely under Customers
- Automation Rules - If you have different forms that you need to send prior to every appointment for a specific service you can use the Automation Rules section of Consult where you can create as many rules as you need
- You would do this in Timely under: Form automation rules
- Customer Reminder Messages - If you need to send a single form prior to every appointment you can attach a specific form to your reminder texts, such as the COVID-19 Health Screening Form.
You would do this in Timely under: Setup > Customer messages
Consult App
You can easily host consultations with your clients using the Consult iOS app on your iPad or even an iPhone. This is an amazing tool for keeping a detailed digital record of your consultations, treatment details and machine settings, and most importantly it is all legally compliant.

Rewards
Rewards make it easy for you to build strong and lasting relationships with your customers by rewarding them for their loyalty. With the Timely Rewards your clients earn points automatically based on the amount they spend, you set how many points they need in order to earn their Rewards and you also specify the Rewards value!
Setting up your Rewards program
To get this set up go to Setup and select Rewards under Sales Tools, once you are here click Enable Rewards. You will then be given the option to use the pre-set formulas based on your clients average spend or create your own rewards formula.
Under Advanced Settings you can also decide whether to include rewards for all services and products, set an expiry date and decide whether to allow your clients to view their rewards

Messaging
Follow-up and Rebooking Messages
Following up with your clients after their appointments with messages is a great way to keep in touch and encourage them to rebook! With Timely you have 2 ways you can do this, to set these up go to Setup then Customer Messages and Add a new message and select either:
- Follow up messages can be a great way to thank clients, send aftercare information, get reviews, and encourage them to rebook up to 4 weeks after their appointment.
- Rebooking messages encourage your clients to rebook with you to maintain their look and you can also reconnect with clients you've not seen for up to one year after their last appointment. These are only available on our innovate plan.
Additional Information: Add shortened links to your rebooking and follow up messages to allow clients to review or rebook right from the message on their phone.

SMS campaigns
SMS marketing is incredibly targeted, allowing you to get the right audience for your specific campaign allowing you to select clients that have had specific services or a specific staff member and within certain dates! This could be to let them know about a special birthday offer, a last minute appointment availability or your latest exciting news!
To get started with SMS Campaigns to go Messages then SMS Campaigns and select New SMS Campaign
Important Information: If you haven’t used this before you may see a message that says: SMS campaigns are available on request. Don’t panic, simply click the “Contact our support team” link, a pop up will appear on the screen, click Email and let the team know you want to start using SMS Campaigns, they will then enable this for you and you can get started
Additional Information: SMS campaigns are not included in your SMS credit allowance but Timely will tell you how much your SMS Campaign will cost before you hit send

MailChimp
You may want to send an email to your clients instead of an SMS and you can with MailChimp. To link Timely to MailChimp go to Setup then Add Ons and find MailChimp in the list, then click Activate and turn it on. It will then ask you to log in to your MailChimp account.
All of your clients that have accepted email marketing will be sent over to your MailChimp account ready for you to send your email marketing to your clients!
Additional Information: Add “book now” links to your emails to get more bookings!

Client Login
The client login gives your clients the ability to reschedule and rebook appointments, save credit cards to their account, complete forms and update their contact details. To allow clients to see the Client Login when they book online go to Setup, Online Bookings and then tick Show clients the login option in Online bookings
- My Appointments - Clients can view both upcoming appointments, where they have the choice of rescheduling or cancelling their upcoming bookings, and historic appointments giving them the option to rebook previous treatments.
- My Forms - Clients will see two sections here, “To Complete” for forms they have been sent but have not yet started, and “Drafts” for forms they have started to fill in but have not sent back to you.
- Dropdown Name Menu - Under this section, they can update their details and save cards to their account
Additional Information: Clients will not be able to update their sms number as this is the way they login, only you can update this for them

TimelyPay
TimelyPay is Timely’s very own payment gateway which allows you to take payments from clients with the addition of some amazing features to help give your clients the best in salon experience as well as saving you time such as card capture and cardless check out! Not to mention that it’s got some of the best rates available.

Cardless checkout is the newest feature to TimelyPay, if your client has saved a card to their account you will have the option of charging that card in the salon when you checkout the sale. In a post-covid world, this contactless payment means your client is spending less time in your business and often is likely to spend more when they’re not handing their card or cash over to you
